Office Manager and Billing Specialist

We are on the lookout for a motivated and organized Part-Time Hybrid Office Manager to join our dynamic team. This crucial role ensures the smooth operation of our practice, managing office operations, overseeing staff, and providing essential medical assistant support. Currently this job is a part time position, 25-30 hours per week, with the capacity to grow over time.

Responsibilities:

Office Management

  • Oversee and support office staff to ensure smooth and efficient operations.
  • Manage office tasks inlding mail, billing, supplies and client interactions.
  • Provide leadership and foster a positive, productive work environment.
  • Assist with billing and credentialing processes for our therapeutic and medical team. Experience in Medical or Mental health billing a plus. 

Medical Assistant Duties

  • Coordinate scheduling for appointments and meetings.
  • Handle phone calls with exceptional customer service, addressing inquiries and concerns.
  • Manage prescription requests and coordinate with pharmacies.
  • Assist with billing and credentialing processes for our medication manager, Megan Manning.
  • Maintain accurate and up-to-date patient records and documentation.

Medical Billing

This role can grow with your position. Previous experience highly encouraged.

  • Medical billing and coding certification: This certification is important, as most employers require a coding credential.
  • Understanding of billing software and electronic medical records
  • Excellent communication skills: Medical billers need to be able to interact with patients, medical personnel, and insurance companies, and may need to handle payments, accounts, and disputes.
  • Detail-oriented: Even minor errors in coding and billing can cause delays in payment or denied claims.
  • Problem-solving abilities
  • Time management skills

Qualifications

  • Previous experience in office management, administrative support, or a related field.
  • Experience in a healthcare or mental health setting is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in office software and technology (e.g., scheduling systems, electronic medical records).
  • Ability to work independently and as part of a team.
  • Familiarity with billing and credentialing processes is a plus, but training will be provided
